What to Have Ready Before the Cart Arrives

Booking the cart is the easy part. The events that run smoothest are the ones where somebody thought about four small things ahead of time. None of them are hard, and none of them cost you anything. Here’s the short list.
A Dedicated 20 Amp Outlet
The cart needs a dedicated 20 amp outlet to run smoothly, not one shared with a DJ rig and a warming tray. A tripped breaker mid-service is the one thing that actually stops us. If you’re not sure what’s on that circuit, ask your venue coordinator. They almost always know.
Or No Outlet at All
Some of the best spots for a cart don’t have power anywhere near them. A garden ceremony, a beach lawn, the far end of a warehouse. We have silent batteries available as an add-on that can power our setup for several hours if needed. They also cover the situation where there’s no 20 amp outlet available, like a household 15 amp circuit. Tell us early if that’s your venue and we’ll plan for it.
A Flat Spot to Work
The path in needs to be ADA compliant so the cart can roll up to the space, and the spot itself needs to be a level surface we can operate on. Think of it like a small bar.
When You Want Us Pouring
One barista pours around 60 drinks an hour. Two baristas get you upwards of about 100 an hour. So a 60-person office morning fits comfortably with one, and a 250-person reception needs either more time or a second barista. Give us your head count and your timeline and we’ll tell you which.
Where the Line Will Form
Think about where a line would form if there was one. Even though we strive to serve guests as fast as possible, about two drinks a minute, once guests smell the coffee they’re bound to jump up and come all at once. Put us somewhere guests already walk past, and somewhere a line has room to go without cutting through the room. Near the entrance, next to the bar, or right by the dance floor works. Tucked in a back corner and the cart gets half the traffic it should.
What You Don’t Need to Think About
Cups, lids, ice, water, the cooler, the beans, the milk, the syrups. We bring all of it. We set up before your guests arrive and we clean up after, so nothing about the cart ends up on your run sheet.
Tell Us Early, Not Late
Send us the venue, the guest count, and anything unusual about the space when you book. Odd access, no power, an outdoor spot with no shade. We’d rather know six weeks out than the morning of, so we can have a plan in place well before day of.
